The whole process is four steps.
Scan — read-only
Grant Microsoft 365 admin consent to a read-only app — no write, no delete. It reads SharePoint file metadata plus the tenant, user, group and usage-report facts needed to size the estate; an automated scan returns what's reclaimable in GB and dollars. The app that can protect or archive is a separate registration, consented later, only if you proceed.
Copy & verify
Each file is copied to your own S3-compatible object storage, then SHA-256 hashed. If the hash doesn't match, we stop and the original is never touched.
Stub & reclaim
Only after verification is the original removed from SharePoint — retained in your bucket, with a clickable HTML page left in its place. Anyone who opens it gets a one-click Restore button — no IT ticket.
Restore
Users restore from the stub's button; IT can restore from the console; or surface everything as a normal drive via CentreStack. Reversible for as long as you keep the file.

Secrets are encrypted through a database-backed, certificate-protected keyring; transit is TLS 1.2+; storage is your dedicated or bring-your-own bucket. The scan app holds six read-only Microsoft Graph application permissions: Sites.Read.All, Files.Read.All, User.Read.All, Group.Read.All, Reports.Read.All and Organization.Read.All. You can verify both registrations in your own Entra admin center and revoke consent at any time.

SHA-256 before delete
Every byte is confirmed in object storage before a single original is removed, and the audit log records each hash. One mismatch halts the job and names the file.
Always reversible — one click
The log records the stub write: a clickable HTML restore page sits in SharePoint where the file was. Anyone with access brings it back in one click, and IT can restore from the console.
Holds are skipped — and logged
A file under a retention label or legal hold is excluded from the job — the audit log records the skip and the reason.
The read-only app cannot write
Check both registrations in your own Entra admin center: the scan app holds read-only permissions for sites, files, users, groups, tenant allowance and usage reports. A separate app adds write access only if you choose protection or SharePoint archiving.
